1. About this policy
This Privacy Policy explains how iSpeakOnly collects, uses, stores, and shares personal information when learners, parents or guardians use the iSpeakOnly website, placement tests, dashboards, materials, messaging, booking, payment, and online class services.
By creating an account or using the services, you acknowledge this Privacy Policy. Where consent is required, iSpeakOnly will ask for it through a clear affirmative action.
2. Information we collect
Account and identity information. We may collect a learner’s name, email address, password account credentials, date of birth, age at registration, country, time zone, account status, and dashboard activity information.
Parent or guardian information. For learners under 18, we may collect the parent or guardian’s name, email address, confirmation, and communications connected with the learner’s account.
Placement-test information. We collect reading and speaking test attempts, audio recordings, answers, completion and retake status, dates, results, assigned level, evaluation messages, recommendations, and related administrative review records.
Class and booking information. We collect requested dates and times, time zones, class duration, teacher assignment, meeting platform and joining details, booking status, cancellations, rescheduling, attendance outcomes, class reports, feedback, safety reports, minute balances, and related timestamps.
Messages and learning materials. We collect messages exchanged through the system, message status and timestamps, Student Handout assignments, instructions, learner submissions, uploaded documents or images, notes, teacher feedback, review status, and activity history.
Payment and account-credit information. We may record whether payment is required or confirmed, confirmation date and source, package minutes, reservations, usage, refunds or adjustments, and related administrative records. Payment providers may collect card or billing information directly under their own privacy policies. iSpeakOnly should not receive or store complete payment-card details unless clearly stated at checkout.
Technical information. WordPress, hosting, security, analytics, cookies, and similar services may automatically collect information such as IP address, browser, device, login activity, pages visited, and diagnostic or security logs.
3. How we use information
- Create, verify, secure, and manage learner and guardian accounts.
- Provide placement tests, review results, assign levels, and publish placement evaluations.
- Determine eligibility for onboarding and manage payments and class-minute balances.
- Match learners with teachers and arrange, confirm, change, or cancel classes.
- Provide dashboards, messages, learning materials, teacher feedback, and support.
- Send essential account, test, evaluation, payment, booking, cancellation, safety, and class emails.
- Protect learners, teachers, and the service; prevent misuse; investigate disputes and safety concerns.
- Meet legal, accounting, regulatory, and contractual obligations.
- Maintain, troubleshoot, and improve the website and learning service.
4. Placement-test recordings
Reading and speaking placement tests may require audio recordings. These recordings are used to assess the learner’s English level, review test performance, decide eligibility or next steps, and handle approved retakes. Authorized iSpeakOnly administrators may access these recordings. They are not intended for public use.
5. Online class recordings
iSpeakOnly online classes may be recorded for quality control, learner safety, teacher review, and handling reported concerns. Learners and teachers will be informed that recording applies to the class service.
Class recordings are normally deleted within 48 hours. A recording may be kept longer when a learner, guardian, teacher, or member of the iSpeakOnly team reports a concern, or when retention is reasonably necessary to investigate a dispute, protect a person, enforce iSpeakOnly rules, or comply with a legal obligation. Access is limited to authorized people who need it for these purposes.
Class recordings will not be published or used for advertising without separate permission.
6. When we share information
iSpeakOnly does not sell learner personal information. We may share only the information reasonably necessary with:
- Assigned teachers, so they can prepare for and provide classes and review learner materials.
- Parents or legal guardians responsible for a minor learner.
- Authorized iSpeakOnly administrators and support personnel.
- Website hosting, storage, email, security, payment, video-meeting, and other service providers that help operate the service.
- Professional advisers, insurers, regulators, courts, law-enforcement bodies, or other authorities when legally required or reasonably necessary to protect rights and safety.
- A successor organization if iSpeakOnly is reorganized, sold, or transferred, subject to appropriate privacy protections.
A class joining link may take the learner to an external meeting provider, such as Microsoft Teams, Zoom, Google Meet, or Tencent Meeting. That provider processes information under its own terms and privacy policy.
7. Children and guardian responsibility
iSpeakOnly is generally intended for learners aged 12 and above. A learner under 18 must provide the required parent or guardian information and use the service with the parent or guardian’s knowledge and supervision. The parent or guardian is responsible for reviewing this Privacy Policy and providing confirmations on the learner’s behalf where required.
If iSpeakOnly learns that a child’s information was provided without the required guardian involvement, it may restrict the account while the matter is reviewed.
8. How long we keep information
iSpeakOnly keeps personal information only for as long as reasonably necessary to provide the service, maintain accurate educational and financial records, resolve disputes, protect safety, and meet legal obligations.
- Class recordings: normally deleted within 48 hours, unless a concern, dispute, safety matter, or legal obligation requires longer retention.
- Placement-test recordings and evaluations: retained while needed for assessment, review, retakes, learner history, and service records.
- Account, booking, message, material, consent, payment-status, and administrative records: retained while the account is active and afterward where reasonably necessary for legal, accounting, safety, dispute, or record-keeping purposes.
Incomplete test recordings may be removed according to the test system’s cleanup rules.
9. Security
iSpeakOnly uses reasonable administrative and technical measures to protect personal information, including account access controls and protected administrative areas. No online service can guarantee absolute security. Learners and guardians must protect their login details and notify iSpeakOnly if they believe an account has been accessed without permission.
10. International services
iSpeakOnly and its service providers may process information in countries other than the learner’s country. Privacy laws may differ between countries. Where required, iSpeakOnly will use appropriate safeguards for international processing and transfers.
11. Your choices and rights
Depending on applicable law, a learner or guardian may ask iSpeakOnly to:
- Provide access to personal information held about the learner.
- Correct inaccurate or incomplete information.
- Delete the account or eligible personal information.
- Restrict or object to certain uses of personal information.
- Withdraw consent where processing depends on consent.
- Provide a copy of eligible information.
Some information may need to be retained to meet legal obligations, maintain financial records, resolve disputes, or protect safety. Withdrawing a permission that is necessary to provide a recorded class or another essential service may mean that the relevant service cannot continue.
